Office of the Registrar
The Office of the Registrar is inherently a part of the administrative set-up of academic institution and a member of the policy-making body of the school.
Duties, Functions and Responsibilities
- Take charge of enrollment/registration to make it systematic and orderly.
- Prepare school calendar and schedule of classes
- Examine student credentials for purposes of registration and implement the rules and requirements for admissions;
- Compile and keep all student records complete and up-to-date;
- Issue transcript of records, transfer credentials.
- Take up with the Commission on Higher Education (CHED) all matters regarding recommendations of Deans/OIC of Colleges/School such as :
- Curriculum
- Student’s overload
- Student’s cross-registration
- Admission of students from other and / foreign schools,
- Preparation and submission of prescribed forms to the (CHED)
- report of enrollment
- report of teacher’s load
- report of attendance
- report of students load
- report of promotions
- report of graduating students
- Request for the Special Order of candidates for graduation from the CHED,NCR upon submission of the academic records (CS Form IX) of the candidates for graduation.
- Consolidate (1) lists of enrollment for the first and second semesters and summer for submission to the CHED, NCR within two weeks after the start of regular classes, (2) schedule of classes in the various discipline for submission to the CHED on or before the prescribed date;
- Enforce regulations regarding:
- student enrollment
- student academic load
- student transfer
- the suspension/dismissal of students as recommended by the Dean/OIC and/ or the Vice President for Student Affairs that has approval of The YLFI Board.
- Take responsibility for correspondence regarding school records.
- Apply for permit for course(s) to be offered/renewed as well as course(s) recognition,
- Act as over-all chairman for the preparation of the program of activities related to the Commencement Exercises in coordination with the Vice President for Academic Affairs; and organize committees to assist him/her;
- Discharge such other functions and responsibilities, as may be prescribed by the President
Application for Documents
- Secure clearance from the Accounting Office
- Accomplish clearance as follows:
- Library
- College Dean
- Education - Dr. Mechor Julianes (For undergraduate students only)
- Dean or Student Affairs
- Submit Accomplished Clearance with corresponding receipt of payment for the document applied for to the Registrar's Office (Counter 5).
Certificate of Transfer Credential
Honorable Dismissal
Processing Period: Two Weeks after submission of fully accomplished clearance.
The applicant may follow up the status of his / her application one week after submission of clearance.
Release of certificate of Transfer Credential may be delayed due to the following:
- Transcript of Records/Form-137 was not forwaded by the school last attended.
- Student has an outstanding account with Emilio Aguinaldo College.
Transcript of Records (TOR)
Processing Period:
- Two Weeks (Graduates -Class 1990 & Above)
- Month or more (Graduates -Class 1989 & Below. Old Files are in Cavite).
Release of Transcript of Records may be delayed due to the following:
- Transcript of Records/Form-137 was not forwarded by the school last attended.
- Student has an outstanding account with Emilio Aguinaldo College.
- Student graduated 1988 or earlier. (The file of this student is scheduled to be pulled out from the Central Records Section in Cavite.)
Student applying for a second copy of TOR need not submit a fully accompiished clearance. Photo copy of the previously issued TOR is required instead. If the student cannot submit a photo copy of TOR, he/she must secure clearance form.
NOTE: To claim the requested TOR, two pieces documentary stamps are required.
Diploma
Processing Period: One Month
Photo copy of the previously issued Diploma is required instead. If the student cannot submit a photo copy of Diploma, a photo copy of TOR is sufficient.
If the student cannot present any of the two photo copied documents, he/she must apply for clearance.
C.A.V.
Certification / Authentication / Verification
Processing Period: Two Weeks after submission of receipt of payment and original copy of documents.
- Pay to the Accounting Office.
- Submit the receipt of payment for CAV with original copy of documents applied for.
School Authentication
Processing Period: Three days after submission of reciept of payment and original copy of documents.
- Pay to the Accounting Office.
- Submit the receipt of payment for Authentication with the original copy of documents.
